Accelerate Recruit helps families of high school cross country runners find college programs and write to coaches. Most runners are minors, so the site keeps only what it needs and shares as little as it can.

What the site keeps

  • Your account: your email address, used to sign in.
  • What your family enters: runner profiles (name, class, high school, times and the best time each season, grades, test scores, interests, contact details and links), school lists, notes, drafted emails, coach replies you paste in, and to-dos.
  • How much your family uses the AI features each month (an estimated cost per use, not what was written), to keep within the monthly allowance.
  • When something breaks on the server, a short note of what failed, where and when (and which family it happened to), kept for 30 days so it can be fixed. It never includes what you entered.

It's stored in a database hosted by Neon, and the site runs on Vercel.

The free fit check

The fit check on the coaching page and at /fit-check works out in your browser how many programs fit the times you enter. Nothing you type there is saved or sent anywhere unless you fill in the form to talk through your results with Derek.

If you do, the site keeps your name, email, phone number if you give one, whether you're the parent or the runner, the runner's graduating class, team, state and times, how many programs fit, and what you'd like help with. Derek DeLancey and the person who runs the site see it, and use it only to contact you about recruiting coaching. It's kept for 12 months, or deleted sooner if you ask. Runners under 18 should give a parent's email.

To limit misuse, the site also keeps a scrambled form of your internet address, which can't be turned back into the address, to stop one address sending the form many times an hour. The person who runs the site gets a note in the site's private GitHub issue tracker that a family checked their fit, with the runner's class, team and fit counts, but no name, email or phone number.

Who can see it

  • The people on your family's list: up to 4, invited by the person who started it.
  • The person who runs the site, who can open the database to keep it working and fix problems, and has an admin page listing each family's email addresses, how many runners and schools it has, and its AI use. Your data is never sold, there are no ads, and the site uses no tracking or analytics.
  • Anyone you give a runner's profile page link to, only if you turn that page on. It shows only what you choose (contact details start off), it's hidden from search engines, and turning it off deletes the link.

The AI features

Program suggestions, drafted emails, reading a coach's reply, and reading pasted race results use Anthropic's Claude. Each sends Claude only the details it needs, and never the runner's email address, phone number or links:

  • Suggestions send the runner's team, class, state, times, recent races, grades and test scores, interests, preferences and story, the names of the schools already on their list, and the filters and notes you choose, but not their name.
  • Anything you type in your own words (recent races, story, preferences, notes) has email addresses, phone numbers and links taken out before it's sent.
  • Drafted emails and reply readings also send the runner's name and high school, so the email reads right. Contact details are added to the draft afterward, on our side.
  • A pasted coach reply has email addresses, phone numbers and profile links (including the runner's profile page) replaced, and the runner's own quoted email removed, before it's sent.
  • Pasted race results are sent as you pasted them, with the runner's name.

Anthropic doesn't use what's sent through its API to train its models.

Other services

  • Clerk handles sign-in, sends your sign-in codes and invitations, and keeps the email address of anyone who requests access until they're approved or turned down.
  • Finding a runner's times on MileSplit searches MileSplit for the runner's name.
  • Requesting a school or reporting a problem with one files a note in the site's private issue tracker on GitHub, with the school's name and whatever you type in the box, but not your name or the runner's. A request for access files a note there too, saying only that someone asked, not who.
  • The site's heading font loads from Google Fonts.
  • The site never emails coaches. Drafts open in your own email, and you decide what to send.

Your browser

The site saves only screen settings in your browser, such as the last tab you used. Lists saved in the browser before accounts existed stay there until you clear your browser data. Sign-in uses Clerk's cookies; there are no advertising or tracking cookies.

Your choices

  • Change or delete anything on your list at any time. Removing a runner deletes their profile and school list.
  • Download a copy of everything with Settings → Export backup.
  • To delete your account and everything in it, or with any question, reply to the invitation email you received.
